Smart Banners adds a colored banner at the top of potentially risky emails, directly in the recipient's inbox (Gmail or Outlook/Office). The banner signals what appears suspicious in the message and always suggests an action to take. The banner color indicates how suspicious the email is.
NOTE: banners appear only if the administrator has activated Smart Banners protection for the recipient's mailbox. If a sender is already on a safelist (personal or company), the email receives no banner.
Banner colors
Each banner has one of three colors. The color reflects the most serious element detected in the email; if multiple elements are detected, all related notes appear together in the same banner.
| Color | Risk level | What it indicates |
| Gray | Informational | A point of attention: the email contains an element to note, but at low risk. |
| Yellow | Suspicious | One or more elements of the email appear suspicious: caution is recommended. |
| Red | Very suspicious | One or more elements appear very suspicious: maximum attention before interacting with the email. |

Actions available in the banner
Except in the cases described below, each banner shows two buttons. To use them you must be logged in: the action succeeds only for the actual recipient of the message.
Mark as safe
By clicking Mark as safe, the sender is added to the recipient's personal list of safe senders. After logging in (if required), a confirmation page indicates that the sender has been added.
Future emails from that sender will no longer show the banner for that recipient. This action does not remove the banner already present on the email you are reading: it only affects subsequent messages.
The list is personal: one recipient's choice does not affect colleagues, who each manage their own list. This is different from the company safelist, which is managed by the administrator.
NOTE: at the moment you cannot undo this action on your own from the app. To remove a sender marked as safe, contact support.
Report email
By clicking Report email, the reported message is forwarded to the IT/security team for analysis. After logging in (if required), a page confirms the forwarding and asks you to wait for the analysis result before further interacting with the email or sender. This screen does not provide subsequent notifications on the outcome.
When buttons do not appear
In some cases the banner shows only the informational note, without buttons:
- the company may have chosen to disable one or both buttons for all banners;
- on shared mailboxes buttons never appear: only the banner note is shown;
- if the company has chosen neutral banner mode, each email shows a single Report email button, without color or risk level indication.
In these cases, use the usual company reporting channel to report a suspicious email.
Frequently asked questions
I marked a sender as safe by mistake: can I undo it?
Not on your own from the app. Contact support to request the reversal.
Do actions work if I'm not logged in?
No. Both Mark as safe and Report email require you to be logged in as the actual recipient of the message.
An email I expected to be flagged shows no banner: why?
The sender might already be on the list of safe senders (personal or company), or the mailbox might not yet be activated by the administrator.
