The connectors periodically polls the configured mailboxes archiving all the contents that have not already archived.
The poll frequency is once a day for all connector types but the PEC connectors, which poll the mailboxes every 30 minutes.
With connectors it's also possible to retrieve information about folder structure of the mailboxes and to delete (on the mail server) emails older than a certain time.
Connector types
The LibraCyber Email Archiver offers seven different connector types.
The Exchange, Microsoft 365, Graph, Google and Zimbra connectors integrates natively with the API of the mail server.
The IMAP connector allows to archive emails from all mailserver, so you can use this connector in case you cannot use any of the five native connectors.
The PEC connector is a special connector dedicated to archive the Italian PEC. This type of connector polls the mailboxes every hour.
Connector configuration
For all the connector you can specify a name, whether the connector is enabled or not and the Allowed inactivity days. The Archiver periodically checks if the connectors are active. If a connector remains inactive for more than the configured days, a notification is sent to the administrators.
After you choose the connector type, three configuration tabs are available: Configuration, Synchronization and Cleaning.
Configuration
The connector configuration depends on the type of the connector. You can consult the pages in this section for additional information First LibraCyber Email Archiver configuration
Synchronization
In the synchronization tab, two options are available:
- Folder synchronization allows to retrieve and store on the Archiver the information about the folder structure of the mailboxes. Please note that this option is mandatory in order to enable the mailbox cleaning. The folders synchronized via connector from the Archiver are sorted in alphabetical order, the structure of folders and sub-folders is respected.
- Automatic mailbox sync allows to download from the mailbox the emails that have not come to the Archiver from journaling.
Please note that some folders are skipped by default. The Exchange connector skips the folders IPF.Configuration, IPF.Journal, IPF.StickyNote and IPF.Files. The Graph connector skips the folders syncissues, drafts and localfailures.
Cleaning
In the last tab you can configure automatic mailbox cleaning for emails older that a certain time. The Archiver always double check if an email has been archived before deleting it on the mail server. The deletion process is performed by the connector when the import phase completes. Please note that the first deletion run could take up to some days if the number of emails to delete is particularly high.
When you enable cleaning, you can configure a default rule for all the users, custom rules for specific users or both. Custom rules always overcome the default rule.
When enabling the default cleaning, the emails older than the selected timeframe will be deleted on the mail server. Three deletion types are available:
- hard: the email is immediately deleted;
- soft: the email is logically deleted and will be permanently deleted later depending on the mail server policy;
- trash: the emails is moved to the mailbox trash.
Please note that depending on the connector type, only some of these deletion types could be available.
When configuring a custom deletion rule you have to specify the user, the deletion type, the timeframe and whether you want the custom rule to be enabled or not.
Connector status
In the Status tab of the connectors page, the execution status of each connector can be retrieved. When the connectors are running you can also see the list of users which the connectors are currently processing.
For each connector, three actions are available: Users synchronization status, Connector statistics and Execute connector.
Users synchronization status
From the users synchronization status list it's possible to retrieve the synchronization status of each user.
The possible statuses are:
- Completed: the last synchronization process for the user was successful.
- Running: the user is currently being sychronized.
- Error: the last synchronization process failed. A notification was sent.
- Warning: the last synchronization process was interrupted by a known temporary problem. No notification was sent.
- Not supported: the user is not supported by the synchronization process.
Two possible actions are available: retrieve the connector statistics for the specific user (see the next paragraph) or start the connector synchronization for a specific user.
It's also possible to clear entirely the user synchronization status list and restart collecting information from scratch.
Connector statistics
The connector statistics allows to retrieve aggregated information about what a specific connector does.
The connector statistics can be filtered by a specific day.
The available counters are:
- new: the new emails registered by the connector;
- moved: the emails already imported for which the Archiver detected a folder change;
- deleted: the emails deleted by the user on the mail server;
- expired: the emails deleted by the Archiver on the mail server, due to some deletion rules configured on the connector, both default or custom.
By clicking on the magnifying glass it's possible to retrieve all the emails relative to a specific counter.
Connector execution
It's possible to run a connector execution for the whole connector or to run the execution for a single user.
Please note that it's usually not necessary to manually start connector synchronization because the Archiver periodically run synchronization for all the enabled connectors.
