On the LibraCyber Email Archiver, a tenant is a logical container representing a single organization:
- if you are a single organization you can configure a single tenant
- if you want to archive emails of different organizations, multiple tenants should be configured, one for each organization
Deciding between single-tenant and multiple-tenant configuration is very important because tenants are isolated by design, so there’s no way to transfer any information, object, users or archived emails from one tenant to the other.
This decision also affects the license: if you want to configure multiple tenants on the Archiver you need the multi-tenant license. Anyway, you can upgrade from a single-tenant to a multi-tenant license at any time.
About license
As shown in the picture above, in the tenants list page the used storage and the number of mailboxes is shown, so you can use this information to understand the license usage of the different tenants. Also, by clicking on the magnifying glass you can see the list of archived mailboxes which are currently using a license (for user licensing model only).
Creating a tenant
When creating a new tenant, a list of information is required.
Generic information
A tenant name must be provided. This is only a descriptive label, so you can simply insert the organization name.
An administrator email and an alert email are required:
- the administrator email is only an informative field
- the alert email will be used by the Archiver to send email notification in case of need
Some optional additional notes can be added, too.
Archives encryption
The Archive stores the Archived emails in compressed zip archives. These zips can be optionally protected by a password. Archive encryption can be configure only the first time you configure the tenant. The password cannot be configured later and cannot be changed, so keep it safe! Anyway, the LibraCyber Email Archiver will always be able to read zip files protected with the password you configured.
Tenant domains
At least one domain is required. These domains are mainly used for authentication purposes. If you don’t configure any domain, LDAP/M365/Google login will not work. Note that emails to be archived will not be filtered matching this domains list.
Advanced privacy management
When enabling this option you will be able to specify an email address for the privacy manager for this tenant.
Viewing privacy-sensitive information for this tenant (like searching and viewing emails) will be subject to the approval of the privacy manager.
The privacy manager will receive a QR code to be used with an authenticator app. Also the administrators will need a code provided by the privacy manager in order to view sensitive data.
The Advanced privacy management can be configured or removed at any time.
Tenant limits
This configuration is optional and it’s useful only in a multi-tenant environment. You can configure two limits for each tenant:
- Alert limit: when exceeded, the Archiver will send an email notification
- Stop limit: when exceeded, the Archiver will send an email notification and the archiving process on this tenant will be stopped
You can configure these limits at any time.
These limits are dependent on the license:
- when using a storage-base license, storage-base limits will be available
- when using a users-base license, users-base limits will be available
LibraCyber Cloud volumes
For Archivers hosted in the LibraCyber Cloud, when creating a tenant it’s possible to automatically create and configure the data and the folder structure volumes. Leaving the checkbox enable is enough, no further action will be required. Volumes will be configured with maximum retention time (no deletion configured). It will be still possible to edit the volumes configuration from the volumes section.

Automatic purging of deleted emails can be configured.

By default, this option is disabled.
About compression
Example about how compression rate is computed:
- email archive size: 1.98 TB
- compressed email archive size: 1.33 TB
- compression rate is computed as (1.98-1.33) / 1.98 = 32%
Deleting a Tenant
The removal of a Tenant from the Archiver will perform a “logical delete”, leaving the possibility to “Restore” the Tenant for up to 5 days after which the Archiver will permanently delete the Tenant automatically.
Deleting a Tenant will remove all data associated with the corresponding Tenant except the archived emails which will still be available in the Archiver Volumes.
