This guide explains how to create, configure, and schedule a custom phishing campaign (Custom Campaign), choosing recipients, templates, send volume, and timeframe. Open the Phishing Simulation › Custom Campaign menu to get started.
Campaigns are the three ways a phishing simulation program reaches employees:
- Automatic — an always-active program that sends LibraCyber templates continuously during business hours, with no manual activity required for each send.
- Trial — the onboarding or proof-of-concept phase, with a selection of ready-made templates for demo whose results already feed the Dashboard.
- Custom — a campaign fully controlled by the administrator and built with a three-step wizard. This is the subject of this guide.
Prerequisites
- Plan: Phishing Simulation active for your organization. Trial campaigns are valid while the organization is in Trial mode; Automatic and Custom campaigns are valid when the organization has full access.
- Role: a Phishing Simulation administrator with the Custom Campaign permission, required to create and schedule campaigns. The Setup permission is only needed to activate the Automatic program.
- Configuration completed: users and departments registered, email integration configured, and sending domain verified.
- Available templates: at least one template must exist in the language of each user to be involved. There is no fallback to another language: a user for whom no template exists in their language cannot be involved. Templates are managed in the Template Catalog.
Detailed Procedure
Open Phishing Simulation › Custom Campaign and click Create new campaign in the top right: the three-step wizard opens.
Step 1 — Parameters
Set the basic parameters of the campaign:
- Campaign Name: assign a name to the campaign (free text, used as a reference label).
- Send campaign to: choose the audience to involve — Users (selected users), Departments (departments), or Everyone (all active users).
- Simulations per user: specify how many simulations each recipient receives (default value: 1).
- Start date and End date: set the start date and time (at least one hour ahead, or a future date) and the end date.
Simulations are distributed randomly within this interval, not all sent at once.
Step 2 — Template Selection
Choose the templates the campaign will use:
- Filter the library with Search, Tags, Payload, Activation status, Available in (language), and the Display filter (All / Recommended audit templates / Currently selected / Custom).
- Click Add to add desired templates to the campaign. Use View to see a template preview and Edit to create an editable copy (the original remains unchanged).
- To create a new template, use Create template or Create template with AI.
You can select more templates than the number of Simulations per user: in that case, each user's simulations are randomly drawn from the set of chosen templates.
Step 3 — Preview and Send
Review the campaign summary before launching it:
- Verify the summary bar (total number of simulations, dates, simulations per user) and the table for individual simulations (Recipient, Template, Tag, Language, Payload, Sending date).
- If a warning indicates that templates are insufficient to cover user languages, add templates in that language (there is no fallback). Use Back to go back and make changes.
- Click Schedule campaign to confirm and lock the campaign.
Important: once scheduled, the campaign cannot be modified. To change anything, you must cancel it and create a new one.
Campaign States and Management
A campaign is always in one of three states: Draft, Scheduled, or Cancelled. Progress is shown numerically in the list columns, not as a state.
From the campaign list, available actions depend on the state:
- View — always available; opens the dashboard for the individual campaign, with the data table per user limited to those who received that campaign.
- Delete — available only on a campaign in Draft state; deletes it.
- Cancel — available only on a campaign in Scheduled state; stops subsequent sends. Cancelled campaigns remain visible for reporting.
NOTE: the Automatic program is not activated from this page, but from the Setup › Preferences section, by enabling Automatic simulation delivery.
At this point the campaign appears in the list with Scheduled state and the Sent column still at zero compared to the expected total. Simulations start automatically on the calculated dates and times, distributed throughout the interval during business hours; the Sent, Clicked, Reported, and training completion columns populate as employees interact.
