LibraCyber ESG users can manage and access the system. In this page there are all the user related settings of the appliance.
Users
From the first tab you can manage the appliance users by creating accounts, deleting them and editing their settings. In the Users table are displayed all the users existing in the appliance. You can perform a Search to filter out results or Export the table entries in common formats such as PDF and CSV. To remove one or more users you can select them and click on the Delete button from the table toolbar. You can allow users to customize their own spam settings by selecting Yes in the field named change their own Spam Settings above the users table.
User creation
To create a new user you can click on the New button from the table toolbar. A dialog appears as shown below.
Basic information
First of all you have to type a Username, a Full Name and the user Password (we suggest to use a password manager setting the length between 8 and 30 characters).
Permissions
Here you have to set the user Type and its User permissions. You can learn more about these two parameters from the User types and Permissions knowledge base.
Spam levels
Then you have to set the Spam Levels of the user. You can leave a field empty to use the default value (values are inherited from the Administrator Spam Levels).
Quarantine report options
Finally you can customize the Quarantine reports options choosing to (or don't to) send the Quarantine Report and the Quarantine Email the report will be sent to. You can also allow the Quarantine Msg Preview in order to let users preview the message body from their reports. Here you can Schedule the report delivery. ESG can send up to 4 quarantine reports per day. The report Schedule time is customizable.
Two Factor Authentication
To enable the OTP you have to login with the user you want to set it to and click on the Two-Factor Authentication (TFA). From every page of the interface, click in the top right corner and click "View Profile":
You can now click the button "Two Factor Authentication". The secret code is now displayed. Please, save the secret code in your authenticator and type the generated PIN in the Insert your OTP PIN field and click the Verify green button.
Note: you can also scan the QR code to automatically configure the authenticator.
Note: if you're using automated set (M365 or GSuite Workspace), MFA configuration is demanded to the directory service instead of LibraCyber ESG one.
Bulk editing
You can bulk update users configurations by selecting the user you want to edit and clicking the Bulk Update button from the table toolbar. The below dialog appears. Here you can edit selected records common settings.
Users emails
You can add email addresses to users in ESG by expanding the user record in the table, clicking on the green arrow at the left of each users in the table.
Note: you can add multiple email addresses to the same user (e.g. if the user has an email on more domains in ESG).
To add an email address click on the New button from the child table toolbar.
When adding a new email address the below dialog appears. Here you have to type the Email Address and set the Active parameter to Yes or No. When this parameters are set you can click on the green Save button.
Note: if an email address is disabled, all the email reports such as the quarantine reports will be disabled too.
Import users
From the users table you can run a massive user import by clicking on the ··· icon in the table toolbar. You can import users from:
- Microsoft 365
- Google Workspace
- LDAP
- Text Import
Note: before running a M365, Google Workspace or LDAP import you have to configure the proper connector in the Integrations section.
User Defaults
From this tab you can set default values suggested when a new user will being created.
Permissions
From this section you can configure the default permissions suggested when a new user will being created.
Quarantine report options
From this section you can configure the default quarantine report options suggested when a new user will being created.
Domain Admin Permissions
From this tab you can assign a domain to a previously created domain admin. In the table are displayed all the existent domain admins. You can filter out the displayed domain admins by performing a Search from the table toolbar.
To assign a domain to a domain admin you have to expand the domain admin record by clicking on the green arrow at the left of the domain admin. A child table will be displayed. In this table are displayed all the domains managed by the domain admin. To add a domain you have to click on the New button from the child table toolbar as select the domain from a the list of configured domains in ESG.
Cleanup Old Imports
Integrations will automatically create users on import and keeps track of the last time each user is seen in external sets. Imports are usually scheduled hourly, so all records older than 3 days can be considered stale and may be removed. The removal isn't automatic. In this table are displayed all the stale users that can be removed. You can filter out displayed users by performing a Search from the table toolbar.
To perform the cleanup operation you have to select all the records you want to clean and click the Delete button from the table toolbar.
Auto Populate Users
This feature allows automatic user creation based on recipient addresses that received at least one email. Users are created in the local database with the Daily Quarantine report enabled by default; this is the easiest way to configure on-demand quarantine reports for new users.
Note: this feature can be enabled only for domains with a recipient verification defined.
In the table are displayed all domains configured on the appliance. For each Domain is displayed the Recipient Verification status and if the Auto User Creation is enabled. You can filter out displayed domains by performing a Search from the table toolbar.
Configuration
To enable the Auto Populate Users feature you have to select the desired domain(s) and click on the Auto Create On button from the table toolbar. The Auto Create Off works in the same way, but disables the features for the selected domains.
Manual import
The auto-creation is scheduled daily and at nighttime. It will use the recipient address collected by the licensing module. To manually run the auto-creation process you can click on the Auto Create Now button from the table toolbar.
Authorized Devices
From this page you can manage passwordless devices tokens that can access LibraCyber ESG Web Portal with a secure cookie, so without the need of any username and password credentials. In the table are listed all the active tokens. You can filter out results by performing a Search or Export results in common formats such as PDF and CSV.
To revoke one or more passwordless device tokens you have to select them and click the Delete button from the table toolbar.
API Users
From this tab you can manage ESG APIs users. To remove one or more user you can select them in the table and click on the Delete button from the toolbar.
To add a new API user you can click on the New button and fill in the gaps of the displayed dialog as shown below. Once done, you have to click on the Save green button.
Note: the username must be at least 6 chars long.
When the user has been created this message is displayed showing you the generated password for the created user. We suggest you to save this password using a password management service.
